Virtual Services

Our experience shows that not every new or established business requires a physical office space but could still benefit from the support and services Enterprise@Lincoln and Sparkhouse offer.

Our virtual services can be tailored to suit your needs and are available to any new or established business in any sector, giving access to a reliable service that conveys a professional image. From using the centre as a registered office address to our secretarial and telephone answering services, our Virtual Office is flexible to suit the demands of any business.

The 'Virtual Office' allows you to pick the package that's best: from using the centre as your registered address to having your own unique telephone number answered in your organisations' name (with messages passed on by email, text or phone) to accessing meeting room space and other assets.

 

Packages

Virtual Sparkhouse Office (all prices exclude VAT)

Standard (£25/month)

  • Use of Sparkhouse Studios as a postal/registered address
  • Post collected or redirected
  • First 2 items per month redirected for free, and additional items at normal mail rate plus 20% handling fee
  • Membership of the East Midlands Incubation Network (EMIN)
  • Membership of appropriate Sparkhouse Studios networks
  • Access to business and industry specific support delivered through a combination of centre staff, university staff and external support agencies
  • Access to meeting room space and the services listed below

 Enhanced (£50/month)

  • All services as listed in the standard package
  • An allocated direct dial telephone number answered by reception staff in your company’s name
  • Voicemail facility on the telephone number which is available during the day and when reception is closed
  • Telephone messages will be stored at reception and may be collected in person or by phone
  • If telephone messages are relayed via email or SMS then a maximum of 40 messages per month are included in this option (additional messages are charged at 50p/message)
  • Access to the centre’s meeting room facilities (first 4 hours at no charge, each additional hour at £10/hour) and the other services listed on the rate card (below)
  • Option to place company details and link on the Sparkhouse Studios website

 High Use (£75/month) 

  •  All services as listed in the standard and enhanced packages
  • An additional allocation of the relay of 20 phone messages per month

  • Ground floor meeting room hire    £15.00 per hour (inclusive of full AV facilities)
  • First floor meeting room hire  £10.00 per hour
  • Hire of portable projector  £25 per day            
  • A4 Colour laser printing  £1.00 per sheet
  • A1 Colour printing  £20.00 per sheet
  • A4 B&W Photocopying/printing £0.05 per sheet
  • A4 Laminating  £1.50 per sheet
  • A3 Laminating £2.00 per sheet
  • A4 Comb Binding (1-100 sheets)  £3.00 (to include clear front and back covers)
  • A4 Comb Binding (101-500 sheets) £3.50 (to include clear front and back covers)
  • A4 Comb Binding (501+ sheets) £5.00 (to include clear front and back covers)

Secretarial services

Straightforward services (for example  £17.50 per hour word processing and administration)

Transcription  £15.00 to £20.00 per hour

Editorial proof reading, research  £20.00 per hour

 Notes

  • A £50 initial administration fee will be charged for each new business (no charge will be made to move from one option to another)
  • The ‘free’ allocation of service cannot be carried over from one month to the next
  • Any incoming deliveries that require a signature will be signed for ‘unchecked’ by reception staff
  • Normal reception hours will be between 9am to 5pm, Monday to Friday. Sparkhouse Studios reception is closed in line with the University of Lincoln (public holidays etc), you will be notified a minimum of seven days in advance of such closures
  • Whilst every effort will be undertaken by the centre team to staff the reception and switchboard during normal reception hours their may be periods when this is not possible, during such times the switchboard will pass incoming calls to your voicemail system which will be checked by the centre team on their return
  • A ‘day’ should be regarded as 24 hours for portable equipment and as 8 hours for facilities based within the centre.

The charges for secretarial services listed should be treated as indicative only, an individual quotation for specific work can be provided on request. The cost of any materials required to complete the agreed task will be charged in addition to the rates shown.
